How To Print Mailing Labels (without waste!)

So you’re ready to send out a mass mail letter campaign to your past and prospective clients.  You’ve got everything prepared – you just need to print out the labels for your envelopes. What do you do? Fortunately the answer is right in front of you!

Log into your Real Web Solutions account and access the “Print Labels” section under the Contacts menu. You will then be asked for four simple settings to properly configure your mailing labels:

  • Avery Label Template #:
    Labels come in many layouts and sizes.  Most label manufactuers have standardized on the codes assigned by Avery for their labels.  Which Avery Label style did you purchase? One of the most common is 5160 (30 labels / page). Check the back of the label package to confirm that the code and number of labels per page are accurate.
  • Alignment:
    How do you want the text to be aligned on the labels? I always recommend  left alignment, but you may choose centre alignment if you prefer.
  • Order by:
    You have two options: Last Name or City, Address, Last Name. I prefer to sort them by City, Address, Last Name – but either way works.
  • Prospect Group:
    If you only want to print labels for a specific Contact Group, make your selection of the group here. Otherwise  leave the Prospect Group option set to – to print your entire contact list.

Now that all the necessary fields have been filled out, click Publish to proceed. This will load the download box. Depending on your browser, you’ll either automatically download the PDF containing the labels or you’ll need to click the “Click Here” link within this sentence on the page: “If your download does not begin after 10 seconds, please click here to manually download it.”

*Remember:  Each contact MUST have either the “Address” fields or the “Business Address” fields completed in order to be added to the printable list. Anyone without a completed set of Address fields will be omitted from the printout.

I always save the download and then open it; I recommend you do this as well. If you have a pop-up blocker, it MAY prevent you from downloading the file. If this is the case, typically along the top of your browser is a warning box that appears when a pop-up is blocked. Right-click and set the pop-up blocker to either Temporarily or Always accept pop-ups from Real Web Solutions. If you choose Always, which I also recommend doing, you won’t encounter issues with downloads or any other type of pop-ups our system tries to open while you’re working within your account.

Finally, suppose you want to send a direct mailing to a street, regardless of if they are in your Contact list or not.

A Useful Tip from the Online Manual:

“Avery Labels do not line up properly when printed…”

If you’ve selected the correct Avery template number for your labels but they do not line up properly when you print, this could be a result of the ‘page scaling’ option in Adobe Acrobat. Page scaling reduces, enlarges or divides pages when printing and can cause labels to print incorrectly. Please set the page scaling option in Adobe Acrobat to ‘none’. I’ve included the instructions below on how to do this.

  1. Create and open your labels in Adobe Acrobat
  2. Click ‘File’
  3. Click ‘Print...’
  4. Under ‘Page Handling’ using the ‘Page Scaling’ dropdown select ‘None’
  5. Click ‘Ok’

This should resolve the issue with your labels. I would also recommend printing the first page of your labels on a blank white sheet of paper to make sure they line up and print accurately.
