Send an Open House Alert to Your Clients!
This new email template will allow you to advertise upcoming open houses to prospects and current clients. It uses what are known as “merge keys” to link listing information automatically. This means you don’t have to manually insert the pictures, info, etc., for your listing. It also allows you to use the same template for multiple open houses/listings. All you have to add in is the date & time of your upcoming open house.
To access the Template, go to Email > Templates and scroll down to near the bottom. This particular template is entitled “Open House Alert”. Make a copy of the template so you can edit it. Then edit the copy, now found at the top in "User Created Templates" to insert the date and time of the open house, and any additional information you’d like to add.
When you use merge keys, it can be somewhat hard to imagine how the email is going to look before you send it. You should always send it out to yourself first, so that you can be sure of how it will look to your prospective clients.
See the example below for an idea of how the template (left image) will translate to the actual sent email (right image).

All the text between the percent signs (%) are merge keys. Though merge keys could also represent information from your contact database or your account information, in this example they correspond with information from the listing. For instance, %L-ADDRESS% stands for Listing Address and %L-LISTPRICE% stands for Listing List Price. As you can see in the final email version, they are replaced with the corresponding listing information. Pictures from the listing are also embedded in the final email version.
You’ll notice that my contact information is added on to the end of the email. That’s because I have “Use Default Email Footer” checked in the editing area of the Email Template. You can change the look of your email footer under Email > Email Footer Options.
The last step before blasting this template out to your contacts, is to send it to yourself to preview. Go to Email > Send Immediate Email. From there you can choose yourself from your contact list, select the template you just edited, and select the appropriate listing.
Once you’re happy with it, go ahead and blast it out! You can do that at Email > Send Immediate Email.
